Delegate & Travel Manager – Event Agency

Manage the full delegate journey, including registration, communication, travel coordination and attendee support. Coordinate travel bookings and related logistics while ensuring compliance with client and project requirements. Maintain accurate participant data, reporting and tracking through event and CRM platforms. Act as the primary contact for delegates, resolving issues professionally and efficiently. Collaborate closely with Project Managers, suppliers and client stakeholders to ensure seamless event delivery. Identify opportunities to improve processes, reporting and delegate management workflows through technology, automation and AI.

3+ years of experience in delegate management, participant management, travel coordination or event operations. Experience working within the pharmaceutical and/or healthcare industry. Strong travel booking experience, including managing complex attendee travel arrangements. Advanced Excel skills and confidence working with large data sets, reporting and data quality management. Strong digital and technical skills. Fluent in spoken and written English and German.
